Six things, and how each one is handled

A club is not a corporate booking with a different name on it. The numbers move, the membership is mixed, and the treasurer has to defend the figure to people who paid it themselves.

01 · The room

Somewhere that lifts a routine meeting

The fortnightly meeting is the hardest thing on a president's calendar to keep interesting. A restored heritage floor at the doorstep of Charminar does some of that work for you — members arrive early, stay later, and bring the guests they had been meaning to introduce.

02 · The table

Nobody sits out of the meal

Clubs are mixed by design — every faith, every dietary practice, every generation, and spouses and children at family events. The kitchen is 100% pure vegetarian with no eggs anywhere in the building, and the premises are alcohol-free throughout.

03 · The numbers

A headcount that moves till the last minute

Club RSVPs are never final. Give an indicative number when you book and confirm the real one 24 hours before — billing is against the final headcount, not the optimistic list. The floor takes 4 to 24, so a meeting that swings from twelve to twenty does not need a new venue.

04 · The speaker

Someone who can actually be heard

One booking sits on the floor at a time — no other party, nobody passing through, service only when called for. Say there is a talk and the projector, screen and Wi-Fi are set up before members arrive. Boardroom, U-shape or long table.

05 · The treasurer

A figure that can be defended

Quoted in writing before it goes to the board, all-inclusive: no room hire, no cover charge, no service charge at the end. One GST invoice to the club or trust, with purchase orders and cheque payment accepted.

06 · The visitor

Somewhere to bring a District Governor

An official visit, a sister-club delegation from overseas, a chief guest for the installation. The floor takes the whole party privately, arrival and parking are coordinated, and the Old City is at the door — a better memory to send a visitor home with than a ballroom.

The regular meeting

Breakfast or evening on the private floor, the room set to how your meeting runs, unlimited filter kaapi throughout. The format most clubs settle into once the standing arrangement is in place.

Kaapi & Karam sits inside the Kalakriti ecosystem — an art gallery, archive and cultural platform whose holdings include over 10,000 historic maps and 9,000 vintage photographs of this city and the Deccan. Where a club wants substance rather than a slot to fill, we can curate the session as well as host it.

Photographs, maps and documents of this quarter from the Kalakriti Archives, shown and explained. Clubs with a heritage or education focus find this the most useful evening of their year.

A maker at a bench: lac bangles, attar and distillation, Bidri, pearls or Deccani textiles. The attar session is consistently what visitors remember longest.

The filter-coffee ritual

The story and craft of South Indian kaapi, bean to davara-tumbler, poured tableside. A short, warm opening to a fellowship evening.

Anything with a speaker, walk or craft session needs 48 hours' notice so the session and the maker are properly prepared. For a curated talk, longer is better — plan it into your calendar rather than the week before.

A note for the treasurer. No room hire, no cover charge, no service charge added at the end. Above about 16 members the Full Floor Buyout usually works out cheaper than a per-head figure and removes the headcount risk entirely — worth comparing both before the board meeting. A 50% advance applies above 10 members and for any floor buyout.

For clubs meeting on a cycle

Set it up once, and stop re-negotiating every month

A standing arrangement settles the terms for your whole term, so each meeting is a confirmation rather than a negotiation. One conversation at the start of the year.

Your slot, held

The same day and time each month or fortnight, blocked in the diary for the year and released only if you tell us.

A club code

Every booking recorded against it, so the secretary and treasurer can see the whole year in one place.

Numbers 24 hours before

Confirm the real headcount the day before and be billed on that figure, not on the RSVP list.

One rate for the term

An agreed per-member rate fixed for your year, plus a GST invoice after each meeting and a month-end summary to the secretary.

The floor
First floor, 4 to 24 members, one booking on the floor at a time. Air-conditioned, doors closed.
Kitchen
100% pure vegetarian, no eggs anywhere in the building, alcohol-free throughout. Jain and no onion-garlic on notice.
Notice
48 hours with a speaker, walk or craft session. 24 hours for dining only.
Parking
Guaranteed with every private-floor booking. Members walking in downstairs get drop-off, not a reserved space.
Access
Up a staircase — there is no lift. A member who cannot manage stairs is seated on the step-free ground floor; tell us at booking.
Timings
The venue runs 6:00 AM to 12:00 midnight. The booking line is 10 AM to 7 PM.
Billing
One GST invoice to the club or trust. Purchase orders and cheque payment accepted. Cash and UPI on the day; no card facility.
