Most clubs meet in the same banquet room of the same hotel, month after month. Attendance is a venue problem before it is a member problem — and a private heritage floor 100 steps from Charminar fixes more of it than another speaker will.
A club is not a corporate booking with a different name on it. The numbers move, the membership is mixed, and the treasurer has to defend the figure to people who paid it themselves.
The fortnightly meeting is the hardest thing on a president's calendar to keep interesting. A restored heritage floor at the doorstep of Charminar does some of that work for you — members arrive early, stay later, and bring the guests they had been meaning to introduce.
Clubs are mixed by design — every faith, every dietary practice, every generation, and spouses and children at family events. The kitchen is 100% pure vegetarian with no eggs anywhere in the building, and the premises are alcohol-free throughout.
Club RSVPs are never final. Give an indicative number when you book and confirm the real one 24 hours before — billing is against the final headcount, not the optimistic list. The floor takes 4 to 24, so a meeting that swings from twelve to twenty does not need a new venue.
One booking sits on the floor at a time — no other party, nobody passing through, service only when called for. Say there is a talk and the projector, screen and Wi-Fi are set up before members arrive. Boardroom, U-shape or long table.
Quoted in writing before it goes to the board, all-inclusive: no room hire, no cover charge, no service charge at the end. One GST invoice to the club or trust, with purchase orders and cheque payment accepted.

Anything with a speaker, walk or craft session needs 48 hours' notice so the session and the maker are properly prepared. For a curated talk, longer is better — plan it into your calendar rather than the week before.

A note for the treasurer. No room hire, no cover charge, no service charge added at the end. Above about 16 members the Full Floor Buyout usually works out cheaper than a per-head figure and removes the headcount risk entirely — worth comparing both before the board meeting. A 50% advance applies above 10 members and for any floor buyout.
A standing arrangement settles the terms for your whole term, so each meeting is a confirmation rather than a negotiation. One conversation at the start of the year.

Confirm the real headcount the day before and be billed on that figure, not on the RSVP list.
